Communicating with your UFV colleagues
With over 1,000 employees now working at UFV, communication is a growing challenge. We all want and need to share while keeping our inboxes manageable and spam-free. Following are the tools currently in place from your Marketing & Communications team to assist employees in sharing information of a professional and personal nature:

| UFV-All |
UFV-All messages are individual, stand-alone announcements that are emailed to every employee. They contain very important information for all employees (e.g., notices about emergencies, closures, critical dates or procedures, etc.). Only select announcements fall under this category and they are always sent by the Marketing & Communications team. All other messages are UFV Today general announcements (see below).
If you believe you have a message that merits a stand-alone UFV-All message, please mark it high priority and send it to anne.russell@ufv.ca and kim.lawrence@ufv.ca (both please, to ensure quick turn-around). |
| UFV Today |
UFV Today is our internal e-newsletter, comprised of short announcements about UFV-related events and issues. Everyone is encouraged to read the UFV Today emails on a regular basis. Readers can scan UFV Today announcements with one click, read the headlines, and either delete the message or click through to read notes of interest. Read UFV Today.
UFV Today announcements are sent out every Monday, Tuesday, and Thursday (and other days at the editor's discretion). Deadline for submission is the day prior at 4 pm. Most UFV Today items will be included once or twice. Major events will be announced three times.
Submission guidelines:
- Messages must be submitted via email to ufvtoday@ufv.ca
- Messages submitted for UFV Today should be proofread carefully. They should be grammatically correct and free of spelling errors. UFV style guidelines are available online for reference.
- Messages must have a clear UFV component. Announcements for associations with no direct connection to UFV will not be circulated (see Classifieds below).
- Messages must be plain text only, with no attachments.
Links are permitted.
- Submissions should include submitter's name, phone local, title, and department.
- Messages should include the headline you would like used.
- Messages should be short -- one or two paragraphs, maximum of 100 words. If messages are longer, please post them on a web page and include a link in your short announcement. You are encouraged to post your events on your department’s web page and to send us a link.
Note: A message that has been submitted and sent out with errors, such as an incorrect date or time, will not be corrected as a follow-up stand-alone message. The correction can be included in the next UFV Today. It is the responsibility of the person submitting the message to ensure that it contains the correct information. An exception to this rule may occur if the error was made by the UFV Today editor and it affects a crucial deadline. |
UFV Insider

Keeping Track |
The UFV Insider is a quarterly e-newsletter issued by UFV and includes notes on major institutional initiatives and capital projects; faculty, staff, and department profiles; introductions of new folks; milestones both personal and professional; and photos aplenty. Its predecessor was UCFV People (see 2005 archives here) and the UCFV Headlines newsletter in print and web form. Read the UCFV Insider.
Keeping Track is semi-regular e-newsletter that conveys all the moves, changes, and new folks at UFV. Sometimes Keeping Track is part of the larger UFV Insider e-newsletter, and sometimes it is issued on its own.

myUFV is a one-stop website for UFV students, faculty and staff. A single log-in grants you access to online services, including course registration, e-mail, and course materials. It is also a powerful communications tool. You can use it to post an announcement to the entire campus (employees and students), the entire student body, or to targetted groups of students each semester.
Submission guidelines:
- Messages must be submitted via email to myufv@ufv.ca
- Messages should be proofread carefully. They should be grammatically correct and free of spelling errors. UFV style guidelines are available online for reference.
- Messages must have a clear UCFV component. Announcements for associations with no direct connection to UFV will not be circulated (see Classifieds below).

They should also indicate whether it is a broad campus announcement, an announcement to students, or a targetted announcement to a smaller group of students (e.g. Engl 105 students only, all Crim students this semester, etc.).
- Messages should include the headline you would like used.
- Messages should be short -- one or two paragraphs, maximum of 100 words. If messages are longer, please post them on a web page and include a link in your short announcement. You are encouraged to post your events on your department’s web page and to send us a link.
- In the interest of protecting students and employees against unwarranted, spam-like messaging, Marketing & Communications reserves the right to request clarification for any submission to myUFV, particularly if the message is a targeted email blast.

| UFV Classifieds |
UFV has implemented a shared folder in GroupWise called UFV Classifieds. Any employee can use this folder to post non-UFV event announcements, things wanted or for sale, etc. The folder is shared out to each new employee and should appear in your Cabinet list as a folder called "Classifieds". If it does not, please contact the IT Help Desk and request that it be shared out to you.
