Vacating Early & Moving Out Information

Yes, moving can be stressful. All of a sudden your exams are done and you have be packed up and out of your room...Aaahhhgggg - where to start?! Well, hopefully we can help you out and alleviate a bit of that stress! Below is all the information you need to have a successful and smooth move-out. Also, we have a Residence Summer Storage Contract if you wish to store your things with us over the summer.

Vacating Early

If you are vacating early and wish to cancel your Residence Contract, please fill out and return the Vacating Early Notification form to the Front Desk. For more details and information regarding vacating early, please refer to your Residence Services Handbook under the Withdrawl from Residence and Move-Out sections.

Final Move-Out Dates

The Academic year ends in mid April for most students. Please remember that you must move out of your room and leave the Residence within 24 hours following your last exam. You will receive a letter and envelope indicating the date on which our records show you as finishing exams. If you would like to stay a few extra days, you may do so at no extra charge. Please fill out the Residence Contract Extension Application and return it to Front Desk. Please note that no overnight guests will be permitted after April 15.

Residence will be closed on May 1. Residents wishing to remain in Residence later than the day will be subjected to guest accommodation rates. For informaiton on these rates, please see Guest Accommodation Rates.


Move-Out Procedures

Please read carefully as you’ll find important information about moving out of residence.

The End of the School Year or Vacating Early

Good luck on your upcoming exams and we hope that you have enjoyed your stay in residence. Please be sure to read the following information carefully to ensure a smooth move-out and avoid unnecessary charges.

Contract and End Date

Your contract expires 24 hours after you have completed you final exam. Failure to move out by this time can result in an improper checkout penalty of $105.00 and replacement of Keys $50.00

To avoid extra cleaning charges, please complete the following before vacating your room and turning in your keys:

  • Vacuum floors / dust furniture
  • Unplug and defrost fridge
  • Wash down all walls & cupboards
  • Remove all posters, sticklers, tape, tacks, etc. from walls and ceilings
  • Check drawers and closets for personal items
  • Ensure all furniture is moved back into its original location
  • Clean outside of your room door, the walls on either side of the door and remove any items on the door.
  • All garbage and recycling is to be bagged and disposed of in bins that are provided
  • Close all windows / turn off all lights
  • Lock door / return keys Front Desk

Final Unit Condition Check

A unit condition check of your room/suite and its contents will be conducted by Residence Services after you move out. You will be billed for any deficiencies noted that are not normal "wear and tear" and extra cleaning charges. If you wish to be present during the check, please confirm with the Front Desk.

Cleaning Fees

UFV Residence will pay up to one hour of two professional cleaners cleaning the unit at the end of the given academic year. If it is anything above or beyond that, each resident is responsible for the cost of the cleaning. Please note that if the resident decides to break his / her contract, the resident is responsible for the entire cleaning cost. The costs applied to the resident’s account are as follow:

 

Basic cleaning charges (GST included)

1 Hour -  $50.00 or no charge if contract is fulfilled

Defrosting fridge - $50.00

1.25 Hour - $62.50

Removal of garbage (grocery bag size) - $30

1.50 Hour - $75.00

Removal of sticky tack per room - $25

1.45 Hour - $87.50

Missing University Matters Textbook - $25

Deep Clean (more than 1.75 hours - $100.00)

Missing flashlight and charger - $20

Missing Modem and ethernet cord -$75

 

Moving furniture - $25          

 

Repaint or repair room - $30 - 750

Put mattress cover back on bed - $25.00

Please Note: If a notable attempt has been made to clean the unit, the basic cleaning charges applied to the account may be split with both of the students in the room. If there has been no attempt to clean the unit, each student will be responsible for the entire cleaning charge attached to the unit.

  • Mattress, mattress frame and mattress covers
  • Chairs and table
  • Blinds
  • Desk and hutch
  • Shaw internet modem & ethernet cord
  • Microwave and fridge
  • Nightstand and dresser
  • Telephone
  • University Matters Textbook
  • Flashlight & charger

Move-Out Envelope

You can pick up your Move-out Envelope at the Front Desk. You will be asked to fill out the information required and put the keys in the envelope.

Damage Deposit Refund

Your room will be inspected for damages and cleaning once you have moved out. Students can expect their Damage Deposit refunds within 4-6 weeks after move-out. This will be mailed to you at the address you provide on your Move-Out Envelope. Please ensure that the Front Desk atttendant has received and stamped your envelope.

 

Please note it your room does not meet the UNIVERSITY OF THE FRASER VALLEY (UFV) Residence standard, cleaning and damage charges will be billed to your account and deducted from your damage deposit. If the charges on you account exceed your damage deposit, you must pay the outstanding balance immediately or a hold will be placed on your University Account- you will not be able to access you University transcripts or register for any classes until your balance is paid in full. UFV Residence Services is NOT responsible for anything left in the unit. As per the contract, property left in residence rooms longer than 48 hours after the room has been vacated is considered to be abandoned.

Residence Summer Storage Contract

Are you leaving for the summer but planning to return for the following Academic year? If the answer is yes, the Residence Summer Storage Contract is for you! This contract alleviates the hassle of moving your belongings off campus, storing them, and then moving them back in September. This plan is available for $200.00.

To be elgible for this contract, you must be returning to Residence for the following academic year. The purpose of this plan is to assist those students who must leave for the summer, but will be returning to Baker House Residence for the following September. To take advantage of this opportunity, please print off the Residence Summer Storage Contract and return it to the Front Desk.
