Course Reserves

Introduction

As of January 1, 2011, UFV is continuing its relationship with Access Copyright, but has also adopted the recommendations of the AUCC legal counsel regarding Fair Dealing (sections 29 and 29.2 of the Copyright Act). In order to ensure that everyone is aware of what this means, instructors will be required to provide written acknowledgement of copyright compliance when placing items on reserve (see instructions, below).

Purpose and Scope

Course reserves are materials selected by instructors as required or supplementary readings items which instructors would like students to access and share in a timely fashion. They may be from the library collection, or brought in by instructors, and include books, periodical articles, answer keys, lecture notes, maps, videos and more. The library will also create electronic course reserves for online articles, PDF files of instructor-authored material, or websites. Course reserves are listed in the UFV Library Catalogue by instructor's name, and course number. Physical items are kept in a secure location and have short loan periods and high overdue fines.

The UFV Library's Course Reserves service operates under Fair Dealing (sections 29 and 29.2 of the Copyright Act), as interpreted by the legal counsel for the Association of Universities and Colleges of Canada (AUCC).

Placing Items on Reserve

Print and Video Materials

  • Download and complete the Course Reserves Worksheet:
    • PDF format (to download and print)
    • Word format (to download and save)
    • Copies of form also available in the Library and Faculty Reception
  • Forward or deliver completed, signed form and materials to the campus library where you would like the reserves to be placed:
    • Library-owned books and videos will be pulled off the shelf by library staff.
    • All copies of periodical articles, book chapters, answer keys, notes, and other materials must be provided by instructors; the Library will provide folders for materials.
    • A complete citation identifying the source of the document must be provided on all photocopies, along with a clear copyright statement.
    • All copying must be done in compliance with fair dealing policies.
    • The Library makes every effort to safeguard reserve materials; however, we cannot accept responsibility for lost and/or damaged personal material.
  • In accordance with current copyright policies, coursepacks will not be placed on Course Reserve.
  • Please allow one week for processing.

Student-Authored Works

  • Obtain written authorization from the student(s); you should keep this authorization on file. This authorization should include the following information (see sample):
    • the student's name (or names, if a group project)*;
    • title of work;
    • course number and semester;
    • length of time for which the authorization is valid; and
    • dated signature(s) of the author(s).
  • Download and complete the Course Reserves Worksheet:
    • PDF format (to download and print)
    • Word format (to download and save)
    • Copies of form also available in the Library and Faculty Reception
  • Forward or deliver completed, signed worksheet and materials to the campus library where you would like the reserves to be placed:
    • The Library makes every effort to safeguard reserve materials; however, we cannot accept responsibility for lost and/or damaged personal material.
  • Please allow one week for processing.

E-Reserves for Full-text Articles or Web Documents

  • Download and complete the E-Reserves Worksheet:
    • PDF format (to download and print)
    • Word format (to print and save)
    • Copies of the form also available in the Library and Faculty Reception
  • Forward or deliver completed form to the campus library where you would like the reserves to be placed:
    • For full-text articles, provide the full article citation (author, title of article, journal title, volume, issue, page numbers) and persistent URL (if possible). The library will create a course reserve record with a persistent link to the specific article. Links will work from home by directing students to our proxy server.
    • For web documents in the public domain, provide the title of the website or document and the URL. The library will create a course reserve record that links to the web document.
    • Links to e-reserves will become dormant and no longer show in the catalogue at the end of the semester.

E-Reserves for Instructor-Authored Materials

  • Instructors may place digital copies of their own lecture notes, answer keys, solutions, etc. on course reserve. This greatly increases access to items and addresses issues such as damaged or missing pages.
  • Download and complete the E-Reserves Worksheet:
    • PDF format (to download and print)
    • Word format (to print and save)
    • Copies of the form also available in the Library and Faculty Reception
  • Forward or deliver completed, signed form to the campus library where you would like the reserves to be placed:
    • Provide the library with either an electronic file (such as .docx, .tif, .pdf, or .xlsx file) or a good quality print copy for us to digitize. The library will create a course reserve record that links to the PDF file.
    • E-Reserves will become dormant and no longer show in the catalogue at the end of the semester.

Borrowing Course Reserves

  • Students must show their UFV ID card to sign out reserves, even if they are only making copies.
  • Course reserves are listed in the UFV Library Catalogue by instructor's name, and course number. Please have the course number and title of the item available when you make your request.
  • Because of the short loan periods, course reserves will not usually be transferred between campuses for use.
  • Course reserves may not be placed on hold or renewed.

Loan periods and Fines

Instructors may choose from the following loan periods:

1 day, 2 day, 3 day, or 7 day $1.00/day

Instructors may also restrict 2-hour and 4-hour loan materials to in-library use only.

Copying Guidelines

Under Fair Dealing (sections 29 and 29.2 of the Copyright Act), the following copying is permitted:

  • Up to 5% of a textbook produced primarily for the postsecondary market, or the following, whichever is greater:
    • an entire chapter from a textbook provided that it does not exceed 10% of the textbook;
    • an entire short story, play, poem or essay from the textbook provided that it does not exceed 10 per cent of the textbook; or
    • an entire reproduction of an artistic work or a single musical score from the textbook provided that it does not exceed 10 per cent of the textbook.
  • Up to 10 % of other published works, or the following, whichever is greater:
    • an entire chapter from a book provided that it does not exceed 20% of the book;
    • an entire article from a periodical publication;
    • an entire short story, play, poem or essay from a book or periodical publication;
    • an entire entry from an encyclopedia, dictionary, annotated bibliography or similar reference book;
    • an entire reproduction of an artistic work from a book or periodical publication; or
    • a single musical score from a book or periodical publication.

Exception: If a book is out of print, you may apply for permission from Access Copyright to photocopy more than the above limits. Contact Cameron Roy (local 4522 or cameron.roy@ufv.ca) to obtain permission.

The following copying, however, is not permitted:

  • any of the works referred to above where the publication containing the work does not contain other works (e.g., a play from a publication containing the play but no other work);
  • proprietary workbooks, work cards, assignment sheets, tests and examination papers;
  • instruction manuals;
  • newsletters with restricted circulation intended to be restricted to a fee paying clientele;
  • business cases which are made available for purchase;
  • systematic, cumulative copying of the same work (i.e., several articles from the same journal);
  • any amount of copying of a film or video;
  • coursepacks; and
  • photocopies received through interlibrary loan.
