Reporting to the Manager, Office of the CIO, the Administrative Assistant, ITS will perform a variety of administrative functions for the ITS Leadership team and the IT Services Department. Key responsibilities include:


  • Act as the initial contact for internal and external enquiries to the Information Technology Services (ITS) office, providing information or referring as appropriate
  • Manage university mobile accounts and responsible for preparing the UFV Campus Wide Telus monthly report
  • Administer training on university-provided cell phones for users. Act as the contact to university cell phone users and liaise with Telus on behalf of the employee to resolve issues
  • Assist with the documentation of IT processes and procedures and maintain accurate software license records, cable request records, and invoices
  • Maintain accurate financial records for departmental projects, and assist with the records management activities for the office
  • Act as a liaison between ITS and external stakeholders in regards to troubleshooting and invoicing
  • Review and approve monthly expense reports for ITS Leadership team
  • Support the Manager, Office of the CIO in creating a timeline for the ITS Strategic Plan and develop exercises and activities to assist the Strategic Planning committee in developing departmental goals and strategies
  • Support the Manager, Office of the CIO in developing and implementing communication plans
  • Responsible for the upkeep and maintenance of the ITS website, blog, and social media accounts
  • Provide confidential support for various committees


Completion of a recognized certificate in office administration from a recognized post-secondary institution or equivalent education. Minimum three (3) year’s related experience, including website design and development. Advanced knowledge of Microsoft Office Professional (Word, Excel, Outlook). Well-developed interpersonal and written/oral communication skills. Creative, highly resourceful self-starter, capable of managing department projects through to successful completion. Attention to detail in composing and editing materials, prioritizing tasks, monitoring schedules and meeting deadlines. Excellent working knowledge of modern office practices and procedures. Knowledge and experience with Banner and web design an asset. Ability to remain calm under pressure, maintain confidentiality, work effectively in a team environment, and to be highly resourceful and organized.
