Posting details

The Department Assistant provides administrative support to various program instructors, the Associate Dean and Directors Office, new applicants, students, and the public. Duties include: student pretesting; maintaining program waitlists and initiating registration process; maintaining accurate records for registered students and all program requirements; administering and supervising student testing; providing all necessary student/program reports; evaluating and implementing program procedures; liaising with the main apprenticeship registration office; assisting in developing marketing strategies for each program area; attending and taking minutes at assigned meetings; answering and/or re-directing complex telephone and in-person enquiries.

The Assistant will be required to work at the Trades & Technology Centre in Chilliwack and may also be required to work shifts at other UFV campus locations.

Qualifications

Completion of a recognized certificate in office administration from a recognized post-secondary institution.  Minimum three (3) years of related work experience in a busy, service-oriented, trades training office environment. Excellent knowledge of written and verbal English and office practices and procedures. Working knowledge of the BC Apprenticeship System and Entry-Level Trades Training and experience working with the Trades Training BC waitlist management system. Ability to problem solve and function effectively in a busy, diversified work environment. Advanced knowledge of various software applications, primarily Microsoft Office (Word, Excel and Access), Outlook calendar/email. Able to communicate effectively (written and oral) and superior time management and organizational skills. Able to work to multiple deadlines with a high degree of accuracy and attention to detail.
