The University of the Fraser Valley invites applications for the Program Assistant position within the College of Arts.  We are seeking a highly organized and motivated person with strong administrative/clerical support skills. The successful candidate will bring good working knowledge of modern office practices and procedures with exceptional interpersonal and written/oral communication skills and creative energy. Under the general supervision of the Manager, Academic & Administrative Services, the Program Assistant to the Bachelor of Integrated Studies (BIS) provides administrative support to the Program Coordinator. Key responsibilities are outlined here:

  • Organizes meetings (scheduling, space and equipment bookings, etc.) and prepares agendas, transcribes minutes, and other necessary materials for program meetings
  • Administrative support for curriculum development and revision. Liaison with institutional committees and support services
  • Provides administrative support to Program Chair (e.g. sessional contracts; workload reconciliation; reports; records management)
  • Maintains website content and social media platforms for program. Assists with orientation and recruitment events
  • Organizes program events, on-campus and off-campus. Assists in development and implementation of promotional activities
  • Prepares promotional and informational materials for students
  • Supports the program and course approval process
  • Processes enquiries from students, faculty, internal and external contacts.

Qualifications

  • Completion of a two-year diploma from a recognized institution
  • Minimum three (3) years’ experience, including at least one year in a post-secondary institution
  • Additional training in Records Management and Business Administration preferred
  • Must be a confident communicator: excellent writing, editing, proofreading, and oral communication skills
  • Excellent organizational and planning skills, with experience in managing projects to completion
  • Well-developed interpersonal skills and ability to work independently and collaboratively, exhibiting respect for all colleagues in a team environment
  • Ability to work with a variety of complex schedules, reports, and tracking systems, with demonstrated attention to detail
  • Demonstrated ability to work under pressure, manage competing priorities, meet deadlines, stay current and adapt to change
  • Highly resourceful, organized, and with demonstrated ability to take initiative
  • Evidence of professionalism, demonstrated understanding of ethical conduct, ability to maintain confidentiality
  • Good working knowledge of modern office practices and procedures
  • Experience in editing and maintaining websites and social media accounts in a professional capacity
  • Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Knowledge of UFV and BC post-secondary system
  • Knowledge and experience with Banner preferred
  • Experience with website software: creating, editing and maintaining websites would be an asset
  • Experience with iCompass, and Adobe Pro would be an asset
