Travel advisory

An official global travel advisory is in effect. To avoid the spread of COVID-19, the Public Health Agency of Canada is recommending that travellers avoid all non-essential travel outside of Canada until further notice.

UFV's travel policy

All UFV-related travel for faculty, staff, and students outside of Canada, including to the US, is cancelled or suspended until the Government of Canada recommendations are lifted.

If you are currently outside of Canada on UFV business activity and have maxed out your limit on your UFV Scotia Bank P-Card, contact the P-Card Services team at PCard@ufv.ca for quick assistance.

Travel cancellation and reimbursement FAQs

For projects funded by NSERC, SSHRC and CIHR, the granting agencies have confirmed that the reimbursement of non-refundable travel fees from agency funds is acceptable for meetings or other research-related activities impacted by COVID-19.

The reimbursements can apply to both principal investigators and research personnel, when cancellation occurs either due to factors such as travel advisories (including from Health Canada or Global Affairs Canada), cancelled conferences, or from personal choice due to health or other concerns.

For those planning to travel for NSERC/SSHRC/CIHR-funded research, the agencies suggest to consider purchasing cancellation insurance or to book tickets that are at least partially refundable. In this specific situation, some additional cost could still be viewed as economical if it allows for partial or full reimbursement/credit in the event of cancellation due to COVID-19.


All efforts should be made to obtain a refund of amounts paid. In the event that out of pocket expenses are not refundable, the university will reimburse for these costs through submission of an expense claim with the appropriate receipts, proof of payment and confirmation that it was non-refundable.

Note: The above would also relate to payment for these activities having been processed through the Scotia Bank P-Card.


Contact your dean or manager to discuss cancelling travel (flight, hotel) related to your PD activity. While you will not be granted further PD funds during this fiscal year, UFV accepts that conferences, seminars are being cancelled due to COVID-19, and that these are circumstances beyond your control. Please return any refund received to UFV.
