Work Study Program Overview
The Work-Study Program gives eligible students an opportunity to land an on campus, part-time job that is flexible around their class schedule. A number of positions are available during the Fall and Winter semesters in a variety of different areas.
There are many benefits for students participating in the Work Study program including a few of the following:

Earn and learn: Working on campus in between classes is a great way to become involved with your campus. It also saves time and gas money- you don't have to travel to work.

Gain valuable skills: Work Study positions build communication and interpersonal skills. Depending on the position, you also have the opportunity to gain technical skills, such as database management or project management skills.

Experience: Work Study allows you to apply for a new position each semester, so you have the chance to try different positions and get an idea of what your interests are.
To be eligible to participate in the Work Study program, a student must:
- Be enrolled in a minimum of 9 UFV credits for the current semester.
- Maintain a GPA of 2.0 or greater. To provide proof of eligibility, you may access your student record through MyUFV.
- International Students who meet these criteria are eligible to apply for Work Study positions.
You can apply to Work Study Positions through CareerLink. The Fall 2010 / Winter 2011 Work Study positions have begun to be posted online in CareerLink. If you haven't already done so, register now with CareerLink to gain access to job postings and much more!
**Please note Work Study postings come out only twice per year at the beginning of the Fall and Winter semester, with the majority of positions being posted in the Fall.**
To gain access to work study postings:
- Log in to CareerLink
- On your home page, click on Jobs on the top bar, choose All Jobs Posted to UFV
- At the drop down list for Position Type, choose UFV Work Study
- You may apply to most Work Study postings directly through CareerLink
Hours per week and wage:
Students may work up to 10 hours per week; the current wage is $9.00 per hour (inclusive of 10% in lieu of all benefits). A student may hold only ONE Work-Study position per semester.
Entering Work Study Placement Information for Hired Students
Once you have been hired for a work study position, you will add your placement information to your account in CareerLink. Your supervisor will provide you with your placement information that will include your job title, the start and end dates, and hours per week. You are required to complete the following information for the purpose of setting you up with the UFV Payroll department.
To add placement information:
1. Log in to your account in CareerLink
2. Click on [profile] and then click on the tab [Placements (including Work-Study)]
3. Please note, if you don't see the [+Add New] button at the bottom of the Profile screen, click on the Personal Information tab. You must complete the items with a red *. Once you have added your personal information, click on [Save Changes and Continue]. Now when you click on the [Placements] tab, you should see the [+Add New] button.
4. Click on [+Add New]
5. Placement Type - choose UFV Work Study from the drop-down list
6. Job Title - your work-study job title
7. Employer - begin typing University of the Fraser and then choose the department you are working for from the drop-down list. If the department name doesn't appear in the drop-down list, enter the name of the department you are working for in the New Employer field.
8. Enter the name of the department you are working for, e.g. Geography
9. Enter the name of your work-study supervisor
10. Enter your student number
11. Enter your Social Insurance Number
12. Enter your birth date (month, day, year)
13. Enter your home address
14. Enter your start date and end date (information provided by your supervisor)
15. Enter the wage - 9.00
16. Enter the hours per week - e.g. 10
17. Click on [Submit]
18. Once you have submitted your Placement information, please download the following documents from your [my documents] / [Career Resources] tabs in CareerLink:
1. Click on *Work-Study TD1 Federal to open; print document
2. Click on *Work-Study TD1 Provincial to open; print document
3. If you require a payroll time sheet, you also have access to this through the document library.
19. Complete the two TD1 forms (one federal and one provincial) and submit them to the payroll department with your first time sheet.
Work Study Process for Faculty and Staff
- 1. Faculty and staff receive Work-Study information in early May, including criteria and deadline date for submission of a Position Request form. The deadline to submit a work study position request for the Fall 2010 semester and/or the Winter 2011 semester was Tuesday, June 15, 2010. All Work Study funding for 2010/2011 has now been allocated.
- Position Requests will be assessed by the Work-Study Advisory Committee, based on established guidelines and criteria. Faculty and staff will receive information about funding decisions by the third week of August. Approved Work Study job postings for the fall term should all be posted by the first day of classes in September. Postings will be posted online only, through UFV Career Centre's CareerLink online system at www.ufv.ca/jobs. Students should be directed to the Career Centre, room B238, if they require assistance.
- Eligible students apply directly through CareerLink to the supervisor listed on the posting. To be eligible, a student must be registered in a minimum of 9 credits for the current semester and have a GPA of 2.0 or greater. Work-Study positions can be posted for longer than one week. Students can apply for positions until they are closed. Supervisors will collect applications and hire only eligible students.
- Supervisor will meet with student applicants and choose an appropriate candidate.
- Supervisor must immediately contact the Work Study Coordinator to advise of student placement.
- 6. The supervisor directs the student to complete their placement information in CareerLink. Student enters placement information in their CareerLink account under the Profile / Placements (including Work-Study) tabs and Add New.. Placement information required is as follows: Placement Type (from drop-down list) - UFV Work Study; Job Title - from posting; Employer - from drop-down list; Department; Supervisor Name; Student Number; Social Insurance Number; Birthdate; Home Address; Start date; End date; Wage ($9.00 per hour); hours per week (from posting).
- Students may work during the fall/winter/summer semesters, as long as they continue to meet the criteria for eligibility (registered in 9 credits and GPA of 2.0 or greater).
- All time sheets are to be submitted to the payroll department by the deadline dates listed on the back of the time sheet forms.

Position Criteria
Work-Study Position Requests submitted by faculty and staff are assessed on established guidelines with the following priority:
- Educational value: The major tasks and activities in a proposed position must reflect educational value to both the student and UFV; a proposal that requires a student to apply their studies or to learn new ideas relative to their studies will be given priority.
- Students helping other students: High to medium one-on-one contact will be rated higher than a position which affects students only at a distance.
- Project based: Proposals that request students to do tasks or activities that are required on a regular basis or are likely to become on-going will be ranked with decreasing merit in each subsequent year; such proposals may be ranked high initially, but will be ranked lower subsequently unless significantly altered.
- Available to all areas of UFV: A second proposal from one area will be ranked lower than a first proposal from another area in a given year, and allocations will reflect this principle in subsequent years.
- Limited number of hours per student: Before decisions are made on any allocations in a given year, a cap on the number of hours for any position will be determined: Fall semester, approx. 14 weeks (140 hrs); Winter semester, approx. 14 weeks (140 hrs); Summer semester (if funding available), approx. 12 weeks (120 hrs). A student may participate in Work Study only when enrolled in 9 credits (60%).
**Please note: Positions must not infringe on regular FSA (union) positions. Work Study positions must never be used to replace laid off FSA members.
Posting a Work Study Position
All Work-Study positions are now posted through the Career Centre's new online career management system CareerLink. Once your position request has been APPROVED, you will be required to post your Work Study position online so that UFV students can apply directly through CareerLink.
Please follow these steps carefully:
- 1. In order to post your position, you will need to be registered with CareerLink. Please read through the following instructions and then log in to CareerLink (link provided at bottom of page). If you posted a Work-Study job in the past year, you will already be registered with CareerLink.
- On the log in page of CareerLink you will see a button marked "Register and Post a Job". OR, if you are already registered with CareerLink, please log in using your Username (UFV e-mail address) and Password.
- Please fill in all required information (marked with red asterisks).
- For the industry section, please select "education".
- Under Organization, indicate University of the Fraser Valley - Department Name (for consistency, please follow this naming convention).
- For Services Requested, select "profile" and "job postings" only.
- Under Contact Type, please indicate Work Study Employer
- Once you have filled in all basic contact information and agreed to the policy, please click 'Next'.
- You are now on the job posting form. Please fill in the information as follows: For 1. Position Type, select Work Study
2. Is this a Co-op job? Select 'No'
3. Is this a Work-Study Job? Select "Yes"
4. You must indicate your compliance with the Work-Study Agreement by clicking "Yes" or your posting will not be approved.
5. Job Title: enter job title of work study position
6. Number of Openings: 1
7. Job Description: enter job description of work-study position
8. Qualifications: enter required and preferred qualifications
In the qualifications, please include the following statement: This position is open to UFV students only. In order to be eligible, a student must be registered in a minimum of 9 credits for the current term and maintain a GPA of 2.0 or greater.
9. Hours per week: 10 (or hours per week that have been allocated to this position)
10. Remuneration: $9.00 per hour (inclusive of 10% in lieu of all benefits)
11. Closing date: choose from calendar
12. Posting date: choose from calendar (earliest possible date, September 8, 2009)
13. Job Location: enter campus location
14. Desired Start Date: optional
15. Duration: optional
16. Desired majors: Select appropriate major(s) if necessary, or "all majors" if all students can apply.
17. Resume receipt: check E-mail. This will e-mail applications to you as they are uploaded by students.
18. Display contact information: Check box and enter your name if you would like students to know who they are applying to.
19. Additional Documents: check Cover Letter and Unofficial Transcript. The transcript provides proof that the student is registered in a minimum of 9 credits for the semester and has a GPA of 2.0 or greater. Students will upload transcript information from MyUFV.
- You can log in to CareerLink at any time once your registration is approved to view your Work-Study posting and student applications. When you log in for the first time you will be required to fill in your 'organizational profile'. This is simply a brief description of your department which is accessible by students when searching organizations.
