Plan & submit your technology project

Planning a technology related project but unsure where to start? These guidelines will guide you through the steps to prepare and submit a technology project request with the PPM team.

 


Before you start

Projects are undertakings that are time-bound (have an end), produce a unique output/deliverable that adds value to the university, and are executed under agreed-upon constraints.

To ensure that your project qualifies as a technology-related project, check that it meets the following criteria before submitting a request:

  1. Align with one or more of UFV's strategic priorities
  2. Have financial justification (direct or indirect cost savings) that can be measured
  3. Support enterprise and cloud-based technology, where possible

Types of technology-related projects:

  • Significant improvement of an existing application
  • Implementation of a new technology solution
  • System replacement

  Some key questions to consider:

  • What objective will completing this project achieve?
  • What is the current state? Are there any gaps?
  • Do you have the time and resources to invest in developing a solution?
  • How many people will this impact?
  • How will this project benefit the university?
  • What is your criteria for success?

What information will I need to submit a request?

To ensure that your request is complete and to avoid any intake delays, you'll need to be able to provide detailed information about the project. This may involve contacting different people within the institution, and collecting supporting documents to answer the following questions.

Project details

  • Is the project introducing a new system, a modification or expansion of an existing system, or replacing an outdated system?
  • What is the purpose and goals of this project?
  • What are the benefits, desired outcomes, and business impact?
  • How does this align with UFV's strategic goals?

Technology details

  • What are the current technologies in use to support the business area and processes in this project?
  • What are the new technologies being requested to support the business area and processes in this project?

Project resources and costs

  • What are resourcing requirements, including staff?
  • Who are the internal and external partners or vendors?
  • What is the estimated cost?

Project priority

  • What is the priority and time urgency for your business area?
  • Is this project mandatory or required for regulatory or compliance reasons?
  • Are there any dependencies, constraints, or risks that must be considered?
