Cancellations & refunds

Cancellations

  • UFV Athletics and Campus Recreation reserve the right to cancel any event or program for any reason; in this case, a full refund will be issued with no administration charge.
  • Cancellations by the department will be communicated via email and refunds will be processed.

General refund requests

 To request a program refund based on the criteria below:

  • All refunds are subject to an admin fee and will only be granted for the following reasons:
    • Medical condition(s) or changes preventing the client from continued participation
    • A client who is permanently moving 30km or further from the registered campus
    • Changes in enrollment and/or employment status with the university
  • Valid documentation pertaining to the reason for withdrawal (e.g. doctors note, proof of address change, etc.)
  • Refunds will only be issued for the remaining portion(s) of unused services and/or memberships prior to their expiration date.
  • Refund assessments are based on UFV policies, as well as the terms and conditions of your purchase, and may take up to 2-3 weeks to process.

Membership & passes

  • Written notice received within 7 days of purchase will be considered for a refund.
  • After 7 days, if the refund request is due to a medical reason, a doctor’s note may be required for full refund.
  • Single-Use Drop-in passes are non-refundable.

Merchandise

  • Returns or exchanges on clothing and merchandise can be made within 7 days of purchase.
  • An original receipt must be presented and the tag must be intact. A refund will not be issued for items that have been worn, washed or stained.

All Programs, camps, intramurals & leagues

  • Written notice received within 7 days of purchase will be considered for a refund.
  • After 7 days, if the refund request is due to a medical reason, a doctor’s note may be required for full refund.
  • All refund requests are subject to a $15 administration fee.
  • Written notice received prior to 14 days of start date (or more) will be eligible for a refund, minus the administration fee.
  • If the refund request is due to a medical reason a doctor’s note may be required for a refund request made with less than 14 days before the first day of the program.
  • For camps that run multiple days: Once the program has started refunds will be pro-rated and a 50% refund will be issued.
